Board Meeting Minutes: April 2, 2009

NEWIL Meeting, April 2, 2009

Present: Kira Shockley, Caroline Haskin, Cindy Reinl, Lois Mauermann, Jamie Matczak, Jennifer Thiele (via webinar), Mary Schmidt


Haskin called the meeting to order at 3:05 pm.  Mauermann approved, and Shockley seconded. Motion carried. 


Treasurer’s Report: Mauermann said about one-fourth of the dues are in.  Will have to take out $ 5-10,000 from the Merrill Lynch account, otherwise we will not have enough to function in a few years.  Net Lender agreements are done once a year. If we missed dues by May, we should do another invoice or make some calls.  There was a correction on the treasurer’s report for dues paid in 2009, not 2007.


Shockley needs a dues invoice, because she did not get hers for GBAPS.  Mauermann didn’t get hers, either.


Coordinator’s Report: Matczak talked about upcoming events.  An Open Meetings Law and You Webinar on April 22 at 10 am; Developing Personalized Learning Network Webinar on May 21 at 10 am; CCBC Choices presentation on May 21 from 1 -3:30 pm.  Invites for the CCBC presentation are currently being mailed.  Matczak said she will also post information on the NEWIL email list for all three of these.  
Matczak is looking into possibly doing more electronic invites, to be more “green” and to save money.  Some library systems are doing all invites electronically via email, blogs or websites.

Haskin said workshops and networking is what seems most important to people.
Haskin asked where we feel comfortable being in finances.  Do we really know at this point what the final dues tally is?  Matczak asked if it’s possible that people aren’t renewing because of budgets.  NWTC, UWGB, Lawrence and St. Norbert College get reimbursed for net lending.  Reinl asked what the formula was. Mauermann said it was $3 per request that they were reimbursing.

 
Schmidt joined the meeting at 3:30 pm.
Schmidt asked if workshops and grants are better local PR than the WLA Foundation? She asked if there are grants out there that we could apply?  It might be hard to justify that if we didn’t have money in the bank. 


Shockley left the meeting at 3:45 pm.
Haskin asked if we need some direction or if a decision has to be made today.  Mauermann said we won’t send in the WLA donation for now. 
After more discussion, Mauermann  moved to defer contributing to the WLA Foundation and to have grants capped at $2,000 a year.  Schmidt seconded, motion carried. 
Haskin said maybe we need to think about that reimbursement or ask how many courtesy cards are issued. 


Workshops: Haskin asked what topics are popular or what the buzz is.  Matczak asked to email them ideas. Haskin said they have a one-year subscription to Mango languages. Under BCL site, then research tools, and library card number.


Other issues and concerns:  June 11 is next meeting, Would NEWIL want to co-sponsor the Sept 29th workshop on “Time Management,” and maybe do something with BCL in the afternoon on new databases?


Reinl moved to adjourn the meeting, Schmidt seconds, motion carries. Meeting adjourned at 4:26 pm.
